Administrative Assistant

The Opportunity
Our client is seeking an Administrative Assistant to coordinate and oversee various activities for the Executive Management Team.  Organizes meetings and facilitates the meeting “pulse”.   Prepares and coordinates project plans and tasks that support business growth initiatives.  Completes analysis and research to support business decisions.  Is a strong communicator both verbally and in writing, and has the innate ability to anticipate next steps. Candidates for this position must be detail oriented and accurate, with the ability to prioritize and multi-task. Positive energy, enthusiasm and creative thinking are critical for success in this job.

Requirements:

  • Organizes and maintains business calendars for the President and COO.
  • Prepares and reviews meeting schedules, project updates, deliverables and activities, with the President and COO daily.
  • Prepares and maintains Leadership and Executive meeting agendas.  Proactively follows up with attendees to ensure assignments are complete.
  • Using report-writer applications, produces accurate reports in the form of spreadsheets, graphs, or summary reports to conduct research and support business decisions.
  • Develops detailed project plans and implementation schedules, in support of strategic business initiatives.
  • Proactively researches and reports the status of deliverables due to the Leadership Team.
  • Negotiates with suppliers and merchants for professional services and equipment.
  • Assists with hiring process as needed.
  • Creates and sends written internal and external communications.
  • Overseas a variety of special projects as defined by the Leadership and Executive Management Team.

Qualifications:

  • 4-Year Degree
  • Minimum of 2 years of relevant work experience, preferably in an administrative role.
  • High proficiency in Word, Excel, Microsoft Project and PowerPoint.
  • Motivated self-starter with a customer service focus
  • Strong attention to detail, thorough and accurate.
  • Creative problem solving ability, thinks “outside the box”.
  • Understands financial statements; profit and loss.
  • Demonstrated written and verbal communication skills.
  • Social skills with the ability to interact effectively at all levels both internally and externally.
